Start with the exact case and task
The direct answer is a five-part check: confirm the live case and assignment; navigate to the official circuit website; open the procedure for the exact task; compare it with the docket, orders, rules, and authorized system; then record the sources and recheck before acting.
Before searching for a judge’s procedures, define the work precisely. Motion calendar, special set, trial, conference, evidence, exhibits, proposed orders, emergency relief, remote appearance, courtesy copies, and communication with chambers may follow different instructions even in the same division.
This guide teaches how to locate and verify operational instructions. It does not select a motion or hearing type, calculate a deadline, interpret an order, decide what communication is permitted, or determine a legal position. Those decisions remain with the responsible attorney or authorized supervisor.
- Start with the Florida Courts circuit directory and the official county clerk record.
- Record the complete case number, court, county, and exact next task.
- Identify any hearing, filing, service, submission, or appearance date already set.
- Keep the task narrow enough to find the procedure that actually applies.
Verify the current judicial assignment from an official record
Open the current official clerk or court docket and confirm the case style, case number, open status, assigned judge or judicial officer, division or section, branch, and courtroom when shown. Review assignment and reassignment entries or orders instead of relying on the name printed on an older pleading or notice.
Judge, division, section, branch, and courtroom are separate facts. Record each field as the official source presents it, along with the URL or document and the date checked. If the docket and a saved matter record disagree, preserve the mismatch and resolve it before using either judge’s procedures.
- Match the complete case number and court before matching a party name.
- Treat old captions, calendar entries, and bookmarks as leads, not current assignment proof.
- Stop when the assignment is missing, ambiguous, or inconsistent across official records.
Navigate from Florida Courts to the official circuit website
Florida has 20 judicial circuits, and each circuit organizes its judiciary information differently. Use the Florida Courts circuit directory to reach the official website for the circuit that serves the case’s county, then open that circuit’s judiciary, judge, or division directory.
A search engine, saved link, or independent directory may help you find the door, but the operational instruction must be confirmed on the current official circuit source. Check the hostname, judge, division or section, court location, and assignment before relying on a procedure link.
- Navigate from an official Florida Courts or circuit domain whenever possible.
- Confirm the judge and division before opening linked procedure documents.
- Do not stop at a biography or general directory entry when the task-specific procedure is elsewhere.
Open the procedure for the exact task
Florida Rule of General Practice and Judicial Administration 2.215(f) requires a judge or division that establishes judge-specific or division-specific practices and procedures to publish them on the circuit’s website. That publication requirement makes the circuit site the right starting point, but it does not make every instruction interchangeable.
Open the document or page for the exact task and extract the applicable eligibility, scheduling, conferral, notice, filing, service, submission, courtesy-copy, exhibit, proposed-order, deadline, format, technology, and appearance instructions. A motion-calendar procedure should not be reused automatically for a special-set, evidentiary, trial, or emergency matter.
- Open every linked document that applies instead of relying on a landing-page summary.
- Check titles, revision dates, page notices, and references to a specific division or event type.
- Keep court filing, service, judicial delivery, scheduling, and internal calendaring as distinct events.
Compare the full source set without silently choosing
The judge’s page is one part of the source set. Compare it with the live docket, case-specific orders and notices, current statewide rules, local rules, administrative orders, division procedures, and the authorized scheduling or submission system. The procedure itself cannot contradict established law or a rule of procedure under Rule 2.215(f).
If two sources appear inconsistent, do not harmonize them from memory or select the easier instruction. Preserve the language, dates, and links, then route the conflict to the responsible attorney or supervisor. The absence of a published instruction is not permission to invent one.
- List each source and the operational requirement it appears to control.
- Keep unresolved conflicts visible until an authorized person directs the next action.
- Move deadline questions into the firm’s approved deadline-verification process.
Treat contact details and virtual links as items to verify
An official judge page may publish a judicial-assistant email, courtroom, phone number, scheduling link, or virtual meeting information. That does not authorize an ex parte communication about the merits, bypass required recipients, or replace a filed notice or case-specific order.
Use contact information only for an authorized administrative purpose and follow the current published instructions. Compare any virtual-hearing link with the filed notice, docket, case order, and official judge page before joining or distributing it. Escalate a mismatch rather than guessing which link controls.
- Confirm who may contact chambers and which recipients must be included.
- Keep administrative logistics separate from facts, argument, strategy, or requested relief.
- Recheck access information after a continuance, cancellation, reassignment, or changed hearing type.
Create a dated verification note and schedule the recheck
A useful procedure-verification note lets the next team member reproduce the research. Record the case number, judge, division or section, exact task, hearing or due date, official URLs and documents checked, access date and time, relevant requirements, unresolved issues, and the person who owns the next action.
Save or link the official procedure in the approved matter location, labeling any downloaded copy with its access date so it is not mistaken for permanently current guidance. Recheck the docket, assignment, filed notice, and official judge page before a high-risk submission or close enough to the event to catch a change.
- Record exact source titles and URLs, not only screenshots or paraphrases.
- Give every unresolved question and recheck point an owner.
- Repeat the verification after reassignment or a material change to the task or event.
