How to Schedule a Miami-Dade Civil Hearing in courtMAP: A Verification Checklist

A practical Miami-Dade courtMAP workflow for verifying the case and judge, selecting the authorized event, completing the correct notice branch, and preserving confirmation, filing, service, and docket proof.

Make the live case and current division control

Start with the complete Miami-Dade case number and the current clerk docket. Confirm the style, open status, assigned judge or section, exact filed motion, filing date, docket or index number, parties, counsel, and any order that controls scheduling. Then compare those facts with the case displayed in courtMAP.

An old pleading, prior notice, saved courtMAP event, or search result may reflect a stale assignment. Stop if the clerk record, courtMAP, and the Eleventh Circuit judicial directory disagree. Preserve the conflict and obtain direction before selecting a calendar or sending anything to chambers.

  • Match the full case number and style across the clerk record and courtMAP.
  • Confirm that the exact motion is filed and visible when required.
  • Record the official sources and the date they were checked.

Select the hearing path from current authority, not availability

courtMAP supports motion calendars, special sets, trials, proposed orders, supporting documents, and emergency-motion submissions, but a menu option or open date does not decide which path is proper. Read the current courtMAP User Rules and the assigned judge or section’s official procedures before scheduling.

The responsible lawyer decides whether a motion should be heard, the event type, requested duration, relief, urgency, notice requirement, and legal sufficiency. Staff can verify sources, prepare approved data and documents, and carry out the selected workflow without converting a short slot into authority for a motion that belongs elsewhere.

  • Keep motion calendar, special set, evidentiary, emergency, trial, and other paths distinct.
  • Do not stack events or shorten the stated need to fit an available slot.
  • Escalate unclear eligibility, duration, evidence, urgency, or appearance instructions.

Verify the service list, coordination, and scheduling package first

The courtMAP FAQ states that only parties on the Florida Courts E-Filing Portal service list when the hearing is scheduled can later attach documents to that hearing. Review the current list before scheduling and route missing, stale, duplicate, represented, or self-represented recipient questions through the approved process.

Complete the coordination and conferral required by the current rule, judge procedure, case order, and lawyer direction. Preserve the participants, communication method, dates, responses, proposed dates, requested duration, and any unresolved issue. Prepare the e-filed motion and required supporting material as searchable, correctly labeled PDFs, but do not treat an upload as clerk filing or service.

  • Use the exact filed motion and the correct docket or index number.
  • Document coordination without overstating agreement or legal sufficiency.
  • Open every PDF and verify the case, version, completeness, and confidentiality treatment.

Review every courtMAP field before submitting

Enter through the Eleventh Circuit’s official courtMAP page, use the authorized attorney profile, locate the exact case, and recheck the displayed judge or section. Select only the lawyer-approved event category, motion, date, time, duration, and appearance method permitted by the current division procedure.

For motion calendar, start with the courtMAP User Rules baseline that each motion is separately scheduled and noticed. Then check the assigned judge’s current page for any expressly permitted piggybacking and its limit; do not infer permission from the platform or another division. Save the green Success confirmation that the event was placed on calendar. For special set, treat the submission as a request until the court approves it. A submitted request, pending Workbench item, approved event, rejected request, and confirmed hearing are different statuses; follow the current resubmission instructions instead of silently editing a rejected request.

  • Confirm the attorney profile, case, judge, event category, motion, slot, and duration.
  • Save the confirmation, request identifier, Workbench status, and system email.
  • Do not calendar a pending special-set request as a confirmed hearing.

Use the correct notice branch

The courtMAP FAQ draws a critical distinction. For motion calendar, the scheduling party must prepare and e-file the Notice of Hearing and then upload the filed notice to the event. For a special-set request, the system generates and e-files the notice after the court confirms the hearing; do not create a competing notice unless the court or responsible lawyer directs otherwise.

Open the controlling filed notice and verify the case, exact motion, docket or index number when required, judge or section, date, time, duration, appearance method, location or current remote-access information, recipients, and approved certification. A courtMAP success screen is not a substitute for the filed notice, service evidence, or docket verification.

  • Keep reservation, approval, notice filing, service, upload, docket entry, and office calendaring as separate events.
  • Use current event-specific access information rather than an old remote-hearing link.
  • Escalate any mismatch between courtMAP, the notice, service record, and clerk docket.

Reconcile the event through hearing or verified removal

Monitor the Workbench, system email, Portal service, and clerk docket until the expected approval, filed notice, and event evidence appear. Calendar preparation and submission tasks from the verified event, then recheck the docket, courtMAP event, assigned judge’s current procedure, materials instructions, and appearance details before the hearing.

A cancellation or change requires its own branch. For motion calendar, the courtMAP User Rules require the scheduling party to e-file a Notice of Cancellation, upload it to the event, and change the courtMAP status to Cancelled; filing alone is insufficient. A special-set hearing is not unilaterally cancelled: follow the court-order or stipulation route in the current User Rules and keep preparing until the court approves the cancellation. Complete any additional division steps and verify the final platform and docket status. Deleting an office-calendar entry or sending an email alone does not prove court cancellation.

  • Preserve rejection, correction, approval, filing, service, upload, and docket evidence.
  • Keep preparing while a requested change remains unconfirmed.
  • Give every unresolved status or discrepancy an owner and recheck date.

  • A motion-calendar event received a separately filed and uploaded notice, or a special-set request remained pending until the court-generated filed notice arrived.
  • The controlling notice, service evidence, courtMAP status, clerk docket, and office calendar agree.
  • Supporting-document uploads remain distinct from clerk filing and service.
  • Current materials, proposed-order, appearance, preparation, and recheck instructions were calendared.
  • Any motion-calendar cancellation completed the filing, upload, and courtMAP-status steps, while any special-set cancellation remained active until the court-approved route was complete.
