How to Schedule a Palm Beach County Civil Hearing in Online Services (OLS): A Verification Checklist
A practical Palm Beach OLS workflow for verifying the current division, choosing the authorized scheduling route, completing the correct notice or order branch, and reconciling the event, docket, service, and calendar.

Begin with the live docket and current divisional instructions
This guide is limited to Palm Beach County circuit- and county-civil hearing workflows. Use the complete case number and live clerk record to confirm the style, open status, current judge and division, exact filed motion, filing date, docket entry number, parties, counsel, and any case-management or scheduling order. Then open that civil division’s current instructions through the Fifteenth Circuit judicial directory.
Palm Beach civil scheduling is division-specific. One civil division may permit OLS for a category that another division handles by email, proposed order, court review, or another path. An OLS option or available date does not override the assigned division’s instructions, a case order, or current controlling authority, and family, probate, criminal, or other division examples do not establish a civil procedure.
- Treat old notices, saved PDFs, and another division’s procedure only as leads.
- Record the exact division page and the date it was reviewed.
- Stop when the docket, OLS display, and division instructions do not agree.
Classify the event before entering Online Services
Identify whether the approved path is Uniform Motion Calendar, an OLS short special set, a special-set request outside OLS, a lengthy or evidentiary hearing, an emergency request, a trial-related event, or another published route. Local Rule No. 4 supplies countywide UMC controls, while the assigned division can add current task-specific procedures.
The responsible lawyer decides whether a motion should be heard, eligibility, duration, notice, appearance method, urgency, relief, and legal sufficiency. Staff should not split a lengthy hearing across short slots, select UMC because it is sooner, or infer permission from a system menu.
- Confirm the exact motion, requested duration, hearing category, and authorized route.
- Keep UMC, special-set, evidentiary, emergency, and court-set events distinct.
- Escalate unclear subject limits, evidence, time, conferral, or appearance instructions.
Complete the applicable conferral and coordination record
Local Rule No. 4 requires a good-faith effort to resolve a matter before setting it on UMC. Florida Rule of Civil Procedure 1.202, the assigned division, and case-specific orders may create additional or different requirements for a particular motion. Do not collapse those authorities into one generic certification.
Follow the lawyer-approved conferral and coordination plan. Preserve participants, communication method, dates, responses, narrowed issues, proposed dates, duration, appearance method, and the source for the approved certification. Do not describe a date as agreed or a requirement as satisfied unless the record and authorized reviewer support that statement.
- Use the current rule and division procedure for the exact event.
- Keep factual communication history separate from legal conclusions.
- Have the responsible lawyer approve the certification, notice period, and unresolved exceptions.
Reserve only what the current division permits
Enter through the Fifteenth Circuit’s official Circuit Web Applications page, use an authorized individual account, select the scheduling function, and locate the exact case. Reconfirm the case style, judge, division, attorney, event category, motion, date, time, duration, and appearance information before submitting.
If the division requires an email request, proposed order, court review, or another route for that hearing, leave the self-scheduling path and follow the published procedure. Save the confirmation, status screen, and system email, then use the confirmed-hearing lookup or other official verification provided by the court. A request, reservation, confirmation, and court order are not interchangeable statuses.
- Do not share credentials or confuse the account email with a judicial e-service address.
- Use only the event type and duration authorized for the current division.
- Preserve confirmation evidence and any pending, rejected, or correction status.
Complete the correct notice or order branch
OLS scheduling does not, by itself, prove that every required notice, order, filing, or service step occurred. Follow the current division-specific branch: promptly prepare, file, and serve an approved Notice of Hearing when required, or preserve and rely on the court-issued Order Setting Hearing when that is the controlling event document.
Verify the case, exact motion and docket entry number, judge and division, date, time, duration, appearance method, physical location or current remote access, recipients, and required certification. Keep clerk filing, e-service, judicial e-service registration, OLS upload, e-courtesy delivery, proposed-order submission, and office calendaring as separate events with separate proof.
- Do not assume a reservation automatically filed or served a notice.
- Do not treat an e-courtesy or OLS upload as filing with the clerk.
- Use current event-specific appearance information, not a saved Zoom link.
Verify the full event and any later change
Reconcile the OLS confirmation, controlling notice or order, clerk docket, service evidence, uploaded materials, and office calendar. Assign preparation, materials, proposed-order, appearance, and recheck tasks from the verified event, then re-open the current division page before the hearing because assignments and procedures can change.
For a resolution, withdrawal, continuance, reassignment, or cancellation, obtain authorization and follow the event-specific division procedure. That procedure may require an OLS action, filed notice, proposed order, court approval, email, or other combination. Keep the hearing active internally until the official record confirms the change, and preserve the complete audit trail.
- Verify rather than infer that the court accepted a change or removed an event.
- Continue preparation while cancellation or continuance remains pending.
- Assign every discrepancy, rejection, or unresolved status to an owner and recheck date.

- The authorized individual account, attorney association, case, division, event, slot, and duration were checked in OLS.
- The reservation, request, confirmation, and court-order statuses remain distinct.
- The required Notice of Hearing was filed and served, or the controlling court-issued order was preserved.
- Case, motion, docket entry, judge, date, time, duration, appearance, recipients, and certification were verified.
- Clerk filing, service, judicial e-service, OLS upload, e-courtesy, proposed-order submission, and calendaring have separate proof.
- The OLS event, controlling document, docket, service record, uploads, office calendar, and current division page were reconciled.
- Any change or cancellation was authorized, completed through every required channel, and independently verified.
