Give the intended recipient only the necessary content and access while preserving a clear sharing record.
What you need
- A legitimate, authorized reason to share the document.
- The correct client and matter identifier.
- The approved release copy and version.
- An independently verified recipient address or portal identity.
- Access to an approved business sharing system.
- A designated security, privacy, or responsible-lawyer contact for mistakes and unusual risk.
Check your firm’s process. This lesson teaches a safe general workflow. Your firm’s software, folder names, naming rules, retention steps, and escalation contacts may differ. If you are unsure, stop and ask your supervisor.

- 1Identify the purpose. State why the recipient needs the document, what they must be able to do with it, and how long access is needed.
- 2Confirm authorization. Verify that the client, responsible lawyer, court order, contract, or established matter process permits the disclosure. Stop if authority is unclear.
